How Do I Create a Daily Log Schedule?

A Quick Guide to Understanding the Daily Logs Feature

1. Accessing the Daily Logs Feature

  • Open your project.

  • Navigate to the hamburger menu on the right.

  • Locate "Daily Logs" near the bottom of the menu.

2. Generating Daily Logs

  • Instant Generation: Click "Generate Daily Log" to create the report immediately.

  • Scheduled Generation: Click "Create New Schedule" to configure a schedule for automatically emailed reports.

3. Setting Up a Schedule

  • Click on "Create New Schedule".

  • Filters:

    • Select contractors (multi-select option)

    • Choose breakdown options:

      • Total by contractor

        • This option will show you the total workers per contractor
      • Total per worker per company

        • This option shows you the total hours per worker
      • Advanced view for full shift data.

        • This option enables an advanced view with custom column selection
  • Summaries:

    • Cost Code

      • Number of Workers and Hours per cost code
      • Budget progress to date
    • Classification
      • Number of Workers and Hours per classification
    • Location
      • Number of Workers and Hours per location
    • Position

      • Number of Workers and Hours per position
    • Piecework

      • units installed

  • Field Logs:

    • work summaries

    • toolbox talks

    • Incident reports

    • Weather data.

  • Column Options: Select necessary columns; avoid overloading with too many selections.

4. Naming and Timing the Schedule

  • Provide a name for the schedule (e.g., "Advanced Breakdown").

  • Set the start date (e.g., next Monday).

  • Specify the time for sending reports (e.g., 10 a.m. and 6 p.m. New York time).

  • Choose the report day (e.g., current day or previous day).

5. Selecting Days and Recipients

  • Choose frequency: weekdays only, every day, or specific days.

    • Overlapping days will not send duplicate reports

  • Email Recipients:

    • Default to users assigned to the project.

    • Can search for other users
    • Option to add any email address

6. Saving the Schedule

  • Click "Save" to finalize the schedule.

  • Confirmation of daily reports being sent at specified times.

7. Generating Logs on Demand

  • Option to run a daily log at any time by clicking the button, setting filters, and clicking "Generate".

8. Maintain your Schedule

  • The person who created the schedule automatically becomes the "Schedule Owner". They are responsible for the recipient list of their schedules.
  • If a schedule owner is deactivated, the schedule will also become inactive. An Admin will have to assign a new schedule owner.
  • Any user can create a schedule.
  • Admins can deactivate schedules and change schedule owners at any time.
