How do I Sync my Phase Codes from Vista to SmartBarrel?

This article covers how to sync phase codes from Viewpoint Vista.

General Notes:

  • The cost code sync will only bring in the phase codes assigned to the cost types you have selected in the company integration settings.

  • If no cost types are selected, ALL phase codes will be imported
  • Phase codes are required to sync to timecards. Phase codes should be synced and assigned to the workers shifts before syncing timecards back to Vista. 
  • Cost code format:
    • [phase code].[cost type]

 

How to Sync Phase Codes from Viewpoint Vista to Smart Barrel

1. Accessing the Project

  • Navigate to the Projects page on the dashboard.

  • Locate and open the job that is integrated with Viewpoint Vista.

2. Initiating the Sync Process

  • Find the integration banner above the timesheets and below the field logs.

  • Click the "Sync Cost Codes" button.

3. Monitoring the Sync Status

  • Observe that the sync process is added to the Sync Queue. You should see a green banner popup in the top right of your screen.

  • Wait for the cost code sync to complete.

  • You can check the cost code sync status by hovering over the colored icon on the sync cost codes button OR by navigating to the logs in the Viewpoint Vista integration page.

4. Verifying the Sync

  • Open the timesheet and check the productivity dropdown for the newly synced cost codes.

  • Alternatively, access the cost codes page via the hamburger menu in the top right of the project.

  • Confirm that cost codes contain a Viewpoint icon to confirm they are successfully mapped. The icon should show in both the cost codes page and in the productivity cost code dropdown on the timesheet.


5. Final Steps

  • Once cost codes are imported, you can assign them to workers' time so you can send timecards back to Vista with accurate job costing. This will be required to successfully sync timecards.
