How do you Sync Projects with Plexxis?

Learn how to import and manage your Plexxis jobs as projects in SmartBarrel.

Project Sync

The Plexxis V2 integration allows you to import your Plexxis jobs into SmartBarrel as projects. Once imported, a project is linked to Plexxis and ready for Subjob Sync, Cost Code Sync, and Timesheet Sync.

Navigating to Projects

Navigate to Integrations > Plexxis V2 and click the menu icon (≡) in the upper right corner. Select Projects from the menu.

The Projects page displays all available Plexxis jobs with their Project Number, Name, Address, and Import status. Projects displayed in orange with a green date badge have already been imported into SmartBarrel. Use the Search Projects field to find a specific job, or click the refresh icon to pull the latest list of jobs from Plexxis.

Importing a Project

Click Import next to the Plexxis job you want to bring into SmartBarrel. You will then have two options:

  • Import as new Project — Creates a brand new project in SmartBarrel using the Plexxis job data. Use this option when the project does not yet exist in SmartBarrel.
  • Merge — Links the Plexxis job to an existing SmartBarrel project. Use this option if the project was already created in SmartBarrel before the Plexxis V2 integration was set up.

After Importing a New Project

If you are importing as a new project, you will need to confirm the project address and set the pin location on the map. This is required so that SmartBarrel can configure geofencing for the project. Drag and drop the pin to the correct location before saving.

Once the address and location are confirmed, click Save to complete the import.

Project Settings

After importing, you can configure the following settings for each project by clicking Edit on the project card:

  • Sync Only Approved Shifts — When enabled, only shifts that have been approved in SmartBarrel will be included when syncing timecards back to Plexxis. See the Timesheet Sync article for more details.
  • Auto Sync Cost Codes — When enabled, cost codes for the project will automatically sync from Plexxis on a recurring schedule. See the Cost Code Sync article for more details.

Click Save to apply any changes to project settings.

Unlinking a Project

If you need to remove the link between a SmartBarrel project and a Plexxis job, click the kebab menu (⋮) on the project row and select Unlink. This will disconnect the project from Plexxis without deleting the project in SmartBarrel.

Projects can be imported one at a time. Repeat the import process for each Plexxis job you want to bring into SmartBarrel.
