How do you Sync Projects with Spectrum?
Learn how to bring Spectrum jobs into SmartBarrel as projects.
Your Spectrum jobs can be imported into SmartBarrel as projects. Import a job as a brand new project, or merge it onto a project you already have in SmartBarrel so the two are linked.
Before you start
- Spectrum must be connected (see: How do you Set Up the Spectrum Integration?).
- The job's Spectrum company must be mapped to a contractor with Sync Projects turned on.
Import a job
- Go to Integrations > Spectrum > Projects. The list shows the Spectrum jobs available to you.
- Use the search box to find the job you want, then press Enter.
- Click Import on that row and choose either to create a new SmartBarrel project from the job, or to merge it onto an existing project.

After merging, you are taken straight to that project's Spectrum settings. Jobs that are already linked show their import date and an Edit button instead of an Import button.
What gets imported
| Project Field | Comes from Spectrum | Required? |
|---|---|---|
| Project Name | Job description, falling back to the job number when blank | Yes |
| Project Number | Job number | Yes |
| Contractor | Company code, matched to the contractor you mapped | Yes |
| Address | Address lines one and two, combined | No |
| City, State, Zip Code | City, state, and zip | No |
| Status | Job status in Spectrum | Yes |
Which jobs appear in the list?
Only jobs that are active in Spectrum, and only from companies you have mapped with Sync Projects turned on. If your list is empty or a job is missing, that mapping is the first thing to check in Company Settings.
Set the project up
Open a linked project's Spectrum settings from the Projects list to configure it.

- Auto Sync Cost Codes: keeps this project's cost codes up to date automatically on a schedule.
- Sub-jobs: link additional Spectrum jobs to this same project (see: How do you Link Additional Projects with Spectrum?).
- Make Default Settings: admins can save the current settings as the template applied to projects imported later. Projects you have already imported are not changed.
Once a project is linked, a Spectrum card appears on its overview page with a Sync Cost Codes action.
Troubleshooting
| Problem | Cause | Fix |
|---|---|---|
| The Projects list is empty | No mapped company has Sync Projects turned on | Open Company Settings and map the company, then turn on Sync Projects. |
| A specific job is missing | The job is not active in Spectrum, or belongs to an unmapped company | Check the job's status in Spectrum and the company mapping in SmartBarrel. |
| A recently created job does not appear | The job is newer than the last delivery of your Spectrum data | It will appear after the next delivery. |
| The import screen says the job is already mapped | That job is already linked to a SmartBarrel project | Open the existing project instead, or unlink it first. |
FAQ
What is the difference between importing and merging?
Importing creates a new SmartBarrel project from the Spectrum job. Merging links the Spectrum job to a project you already have, so your existing project keeps its history and gains the Spectrum connection.
Can one SmartBarrel project cover several Spectrum jobs?
Yes. Import or merge the main job first, then add the others as sub-jobs.
Will importing a job bring its cost codes too?
Not automatically. Run a Cost Code Sync, or turn on Auto Sync Cost Codes for that project.
