How to Set Up Multi-Factor Authentication (MFA) to login?

Setup MFA with either an authenticator (Google, Microsoft) or SMS one time password to enhance security.

Overview

Multi-Factor Authentication (MFA) adds an extra layer of security to your SmartBarrel dashboard account by requiring a second form of verification at login. SmartBarrel supports three MFA methods:

  • Google Authenticator – generates time-based one-time codes on your mobile device
  • Microsoft Authenticator – generates time-based one-time codes on your mobile device
  • SMS OTP – sends a one-time code via text message to your phone. 

If your company administrator has enabled MFA company-wide, you will be prompted to complete MFA enrolment the next time you log in. You will not be able to access the dashboard until setup is complete.


Prerequisites

Before starting, make sure you have:

  • Access to the SmartBarrel dashboard login screen.
  • A mobile device with either: 
    • the Google Authenticator app (Android | iOS) installed or 
    • the Microsoft Authenticator app (Android | iOS) installed or 
    • a valid US/Canada mobile number if you prefer SMS.
  • If you are a new authenticator app user, open the app and complete initial setup before proceeding.

Option A: Authenticator App (Google or Microsoft)

Step 1: Access the MFA Setup Screen

If your company has enforced MFA, you will be automatically redirected to the MFA setup screen after your next login. You will not be able to proceed to the dashboard until setup is complete.

  1. Click on your profile dropdown in the top-right corner of the dashboard.
  2. Select Password & Security.
  3. On the Security page, locate the MFA section and toggle MFA on.
    1. Note: If MFA is not company-required, you can set it up yourself at any time following the same steps.
  4. Select Sign in with authenticator app to begin authenticator app enrollment.

 

Step 2: Link Your Authenticator App

On the MFA setup screen, you will see a QR code and a manual setup key. If you are using a mobile device:

  1. Open your Google Authenticator or Microsoft Authenticator app.
  2. Tap the + icon (or Add account) to add a new account.
  3. Select Scan a QR code and use your phone's camera to scan the QR code displayed on the SmartBarrel setup screen.
    1. Tip: Make sure the app has permission to access your camera.
  4. (optional) If you cannot scan the QR code (e.g., you are logging in on the same device):
    1. On the MFA setup screen, select Enter this key manually in your authenticator app.
    2. Copy the setup key shown on screen.
    3. In your authenticator app, select the option to Enter a setup key (or Enter code manually in Microsoft Authenticator).
    4. Paste the key and save the account.

 

Step 3: Verify Your Setup

  1. In your authenticator app, locate the SmartBarrel account. You will see a 6-digit code that refreshes every 30 seconds.
  2. Return to the SmartBarrel setup screen and enter the 6-digit code in the verification field.
  3. (Optional) Check Remember this device for 30 days if you do not want to be prompted for a code on this device for the next 30 days.
  4. Click Continue.
    1. MFA is now active. After setup is complete, you will be logged out and required to log back in. On future logins, you will be prompted to enter the current code from your authenticator app.


Option B: Set Up MFA with SMS

Step 1: Access the MFA Setup Screen

If your company has enforced MFA, you will be redirected to the setup screen automatically on next login. If setting up voluntarily:

  1. Click your profile dropdown and select Password & Security.
  2. In the MFA section, toggle MFA on.
  3. Select Sign in with phone number to begin SMS enrollment.

Step 2: Enter Your Phone Number

  1. On the SMS setup screen, enter a valid US/Canada phone number.
  2. Click Send Code. A one-time verification code will be sent via text message.Note: If you do not receive the code, you may resend it after 1 minute.

Step 3: Verify Your Setup

  1. Enter the code from your text message into the verification field on the setup screen.
  2. (Optional) Check Remember this device for 30 days to skip MFA prompts on this device for 30 days.
  3. Click Continue. MFA is now active. After setup is complete, you will be logged out and required to log back in

 


Things to Know

  • MFA protects your account even if your password is compromised.
  • You can choose between an authenticator app or SMS as your verification method.
  • If your company has enforced MFA, the toggle in your security settings will appear permanently on and cannot be disabled.
  • You may opt in to MFA individually even if your company has not required it.
  • During SMS setup, you must use a valid US phone number.
  • You can check the box to Remember this device for 30 days — if selected, you will not be prompted for an MFA code on that device for 30 days.
  • If you switch phones or lose access to your authenticator, contact your administrator to reset your MFA.
  • Authenticator app codes work without an internet connection once set up.


Frequently Asked Questions

What if I get a new phone? Your MFA setup is tied to your device. If you switch phones, you will need to contact your administrator to reset your MFA, then complete setup again on your new device.

What if I don't receive my SMS code? Wait 1 minute and tap Resend Code on the setup screen. Make sure the phone number entered is a valid US number.

Can I switch from SMS to an authenticator app (or vice versa)? Contact your administrator to reset your MFA settings, then complete the setup process again using your preferred method. What does "Remember this device for 30 days" mean? If you check this option during setup or login, you will not be prompted for an MFA code on that specific device for 30 days.
