How to Use the “Still Working” Feature in Quantities
Track ongoing cost codes without losing a day’s productivity data.
Overview
The “Still Working” feature allows managers to skip quantity entry for a cost code on days when work is still in progress and a final quantity is not yet available. Rather than leaving the entry blank or entering an incorrect value, users can check the “Still Working” box to hold the day.
When a quantity is eventually entered for that cost code, SmartBarrel automatically distributes it evenly across all previously skipped days — keeping your production tracking accurate without requiring manual back-entry.
How It Works
Each row in the Quantities modal represents a cost code for that shift. A new “Still Working” column appears alongside the quantity input field.
When you check the “Still Working” box for a cost code:
- The quantity input field is greyed out and locked at 0.
- The row’s status icon changes to a grey clock, indicating the entry is pending.
- The warning banner updates to reflect how many cost codes are pending vs. unresolved.
When you later enter a quantity for that cost code on a future day:
- SmartBarrel calculates the total quantity and divides it evenly across all skipped days (including the current day).
- The quantity is recorded for each skipped day’s shift automatically.
- The source of the quantity is tracked as “Auto” for distributed days and “Dashboard” for the day it was manually entered.
Step-by-Step Instructions
Marking a Cost Code as “Still Working”
- From the daily timesheet, ensure all shifts are closed and cost codes are assigned.
- Click the Quantities button (it will turn orange automatically once all conditions are met).
- In the Quantities modal, locate the cost code you cannot yet enter a quantity for.
- Check the checkbox in the Still Working column for that cost code. A tooltip is available to explain the behavior: “If you are still working on this cost code, you can skip quantity entry. Next quantity you enter will be spread across all skipped days.”
- Repeat for any additional cost codes that need to be skipped.
- Save the modal. The warning banner will update to confirm which cost codes are pending.


Entering the Final Quantity
- On the day you have the final quantity available, open the Quantities modal for that day’s timesheet.
- Enter the total quantity for the cost code in the input field.
- SmartBarrel automatically distributes the quantity evenly across all previously skipped days plus the current day.
- Save the modal. All skipped days are updated and the cost code rows resolve.
Status Icons & Indicators
The Quantities modal uses icons in the Unassigned column clearly show status of each row at a glance:

Things to Consider
- This feature is available in the Quantities modal on the Dashboard, accessible from the daily timesheet.
- If a quantity has already been submitted for a day, the checkbox is locked.
- The system will distribute quantities retroactively for up to 30 calendar days. Entries older than 30 days will not be backfilled.
- Crew managers can distribute quantities for crew members they manage. Quantities can only be assigned to workers within your crew. Make sure cost codes are available to the crews.
- Shift hours can still be approved even when a cost code is marked as “Still Working.” The quantity will be updated across all skipped days once the final value is entered.
- The “Quantities” button on the timesheet will not activate until all shifts are closed and all cost codes are assigned. No page refresh is needed — it activates automatically.
Why This Matters
- Eliminates the need to leave cost codes blank or enter placeholder values when work is ongoing.
- Keeps production tracking and reporting accurate by distributing quantities proportionally across the days the work was performed.
- Allows shift hours to be approved on time, even when quantity data is not yet finalized.
- Reduces manual back-entry and the risk of data errors from editing closed shifts.
